Privacy policy

This policy explains how Dr D Moodley Inc, trading in part as PVT, handles your personal information under the Protection of Personal Information Act, 4 of 2013 (POPIA). Because we are a medical practice, most of what we hold about you is special personal information, and we treat all of it to that higher standard.

1. Who is responsible for your information

The responsible party is Dr D Moodley Inc, a private medical practice registered in South Africa, with rooms at 9 Racecourse Road (Arena X), Milnerton; 41 Erica Road, Table View; and 15 on Orange, Gardens, Cape Town. The information officer is Dr D. Moodley [DOCTOR_NAME_PLACEHOLDER] ([INFORMATION_OFFICER_PLACEHOLDER]), reachable at [PVT_EMAIL_PLACEHOLDER] or [PVT_PHONE_PLACEHOLDER].

2. What we collect

  • Identity and contact details: name, date of birth, ID or passport number where required for pathology, phone number, email address.
  • Health information: your history, examination findings, test results, diagnoses, prescriptions and referral notes.
  • Payment information: amounts paid, invoice records and, where you provide them for claiming purposes, your medical scheme details.
  • Website information: if you submit the booking form, only what you type into it. This site does not run advertising trackers.

3. Why we collect it

  • To provide you with medical care, the primary purpose.
  • To order and receive laboratory tests through Lancet Laboratories.
  • To issue invoices and, at your choice, enable you to claim from your medical scheme.
  • To contact you about results, follow-ups and rechecks you have agreed to.
  • To meet our legal obligations, including health record retention rules.

We do not sell your information, share it with marketers, or use it for advertising. We do not send marketing messages unless you explicitly opt in, and you can opt out at any time.

4. Who we share it with, and who we do not

Your information is shared only with people involved in your care: the treating doctor, essential practice staff bound by confidentiality, and Lancet Laboratories when tests are ordered. Beyond that, we disclose information only with your written consent or where the law compels us, such as notifiable-disease reporting obligations, and then only the minimum required.

We never disclose your visit, results or records to a partner, spouse, family member, or employer without your consent. Invoices are issued in the name of Dr D Moodley Inc with standard consultation codes and do not reference PVT or the nature of the consult. Whether an invoice reaches your medical scheme is your decision, because you submit the claim yourself.

5. How we protect it

Records are kept in access-controlled systems available only to authorised staff. Paper records, where they exist, are stored in locked facilities. Electronic communication of results goes only to the contact details you verified with us. Staff sign confidentiality undertakings and access is limited to what each role requires.

6. How long we keep it

Health records are retained for the periods required by the Health Professions Act and HPCSA guidance, generally at least six years from the last entry, and longer for specific categories. When retention ends, records are securely destroyed or de-identified.

7. Your rights under POPIA

  • To be told what information we hold about you.
  • To request access to your records, which we provide in line with HPCSA rules.
  • To request correction of inaccurate information.
  • To request deletion where the law permits it.
  • To object to processing for purposes beyond your care.
  • To complain to the Information Regulator (inforeg.org.za) if you believe we have mishandled your information.

8. Cookies and analytics

This website uses only the technical storage required for it to function. If analytics are added in future, they will be privacy-respecting, anonymised, and disclosed here first.
